Trustees Present:               Harriet Buckingham, Kathleen Donovan, Elliot Goodman,
                                        Joseph Keefe, Gerald Mazor

Administration Present: Jane Finlay, Acting Director
                                
Staff Present:                  Dale Smith, Children’s Department Supervisor

Call to Order:                  4:25 pm

  • The President reviewed his attendance at the MBLC Conference for Trustees and provided materials to all present.  He indicated that attendance was beneficial to any who attended in many different respects.
  •  Dr. Keefe reviewed for the Trustees the appearance of Ms. Finlay, Ms. Donovan and him before the Natick Finance Committee on Tuesday, March 2, 2009.  Ms. Finlay presented the Library’s projected budget for FY 2010.  She and two Trustees responded to questions posed by Finance Committee members.  There was an extended discussion regarding the figure that the Trustees had used as a salary for the prospective replacement director and the absence in the budget of any funds for overtime.
Numerous questions arose regarding how the Library will respond to employee absences and the inability to open for the usual Sunday hours absent the $46,000 overtime allocation.  The Library’s representatives responded to these questions.  Finally, the Finance Committee voted to support the Library’s budget for FY2010 in the amount of $1,737,625.  The Chair of the FinCom asked that we notify the body as to the actual amount that will be paid to a new director and that the difference between that figure and the current amount illustrated in the budget be allocated to the overtime account.

  •  Following a discussion with staff members, the Trustees agreed to hold a ceremony to dedicate the new stained glass windows that will appear in the front door transoms on April 26th.  Ms. Finlay, Ms. Nardi and other staff will organize this event to honor the late Paula Polk.
Acting Director, Ms. Finlay, reviewed the sources of funds to pay for the stained glass windows and provided a breakout of the funding to the Trustees.  She also provided the Trustees with an enumeration of expenditures that illustrate the continued support of the Trustees.

  •  Ms. Nardi, Community Relations Coordinator, provided the Trustees with a draft plan to enhance the institution’s fund raising efforts.  The material will be discussed at the Board’s April meeting.
  •  Ms. Finlay provided the Trustees with a written report on the activities of the Acting Director.   The report is attached hereto.
  •  The President notified his attendance at the Natick Children First’s art show.  Ms. DeHaven, director of the program, organized the event to honor the late Paula Polk.  An original story was read by a member of the group and a copy given to the Library archive.  The Morse Institute Library has maintained a good working relationship with the organization over the years.
