Minutes of the Meeting of the Board of Trustees

Call to Order: 4:30 pm
1. The minutes of the September 13 meeting were approved with the following edit: Item 9
should read, “…state funds are available for Broadband upgrades.”
2. Linda introduced Nina Hernandez Taylor, the new Young Adult (YA) Librarian, to the
trustees. Nina is doing some shifts at the reference desk as well as her work in the YA area.
3. Director’s Report:
- Brent and A. Garcia of Broadwater Management will be invited to attend an upcoming trustees meeting to provide an update on the trust funds.
- Staff Development Day is Friday, October 21. The first guest speaker, Marilyn Paul, has entitled her presentation, “How Can You Make A Difference When You Can’t Find Your Keys?” The other speaker will be Rick Levine from the Massachusetts Library System, and he will discuss how to troubleshoot computers and other equipment in the library.
- The Annual Donor Coffee is set for Sunday, October 23 from 2-3:30 pm.
- The retirement party for Barbara Sanchez is also on Sunday, October 23 at 5 pm. Barbara has given 20 years of service to the library, including teaching the library’s computer classes for many years.
- Bookmobile stops at the Natick Labs have stayed busy, and business continues to grow. The bookmobile visits the Labs on the first and third Wednesdays of the month. Last week there were 35 visitors and 5 new patrons.
- Work to re-envision the best use of library space continues. Stu Roberts, who is working with the library on space planning, has begun working on schemes and ideas for the interior of the library. He will be here later this week to look at things again and do a survey of furnishings. Linda will meet with him on Monday, October 17.
- Linda reported that she spoke at the Kiwanis Club on September 27.
- The library’s Financial Literacy series continues with an October program targeted for teens: “Money School: Tips for Developing Good Financial Habits.” The presenter is Lyman Jackson.
- The annual Veterans Breakfast is Thursday, November 10 at 9 am at Kennedy Middle School. As usual, the library will participate in this event.
4. Marie shared a draft of this year’s annual fund letter, which features several testimonials
from members of the community about the value of the library and its services. The
targeted mailing will go out to about 3,500 people on November 12.
5. Demetri and Karol distributed the Exhibit Policy they were charged with drafting. The
Document (“Morse Institute Library Exhibit and Display Policy with Application Form) is
based on the review of many examples from other libraries. Demetri reviewed the sections
included in the policy and the application form He noted that most of the policies and
procedures were already in use here, but never fully documented.
The trustees postponed further discussion and approval until the November meeting so that
members will have an opportunity to study the document more closely. On behalf of the
trustees, Kathleen commended Demetri and Karol for their work.
6. Linda shared a letter of understanding that she and Jennifer Hance of the Natick
Historical Society have drafted concerning the display of materials from the NHS
collections at the library. Linda has proposed a few additional changes and is awaiting
Jennifer’s response.
7. Discussion of a library cell phone policy was tabled until a later meeting.
